Member Engagement Associate/Assistant to the Vice President

The Member Engagement Associate/Assistant to the Vice President reports to the Vice President and supports the Office of Advancement and Member Engagement on researching, stewarding, and managing correspondence, inquiries. Supports meeting and event planning, project management, and data functions for the Office of Advancement and Engagement.

Duties and Responsibilities:

Office Support

  • Provides general support to the Vice President including, but not limited to, scheduling and travel management.
  • Manages expenses for the Office of Advancement and Member Engagement through applicable data systems.
  • Provides support for regular and routine mailing of correspondence to members, donors and other constituents.
  • Assists OAME team during peak times with updating member data due to returned mail, bounced emails, etc.
  • In support of the Vice President, tracks OAME goals, objectives and outcomes and compiles quarterly and annual reports for timely reporting to the AAC&U leadership and the Board of Directors.

Advancement

  • Manages sponsor/donor information in database, including tracking all sponsorship inquiries, payments and routine reporting of progress to Vice President.
  • Processes donations, sponsorship payments, and gifts.
  • Interfaces regularly with sponsors and exhibitors in the development and execution of sponsor agreements and in the acquisition of required logos, meeting session descriptions and other materials needed to support the terms of a sponsor’s agreement for in-person and/or virtual meetings and conferences.

Membership

  • Serves as secondary support for the input of data in the member information database, including tracking all payment of membership fees.
  • Regularly gathers association-wide member data to be added to the records including but not limited to award winners, volunteers, donors, so database shows the complete picture of members/prospects.
  • Researches/resolves duplicate records and situations where individuals are not properly associated with a member institution.
  • Assists OAME team during peak times with processing and recording member dues payments in iMIS.
  • Assists OAME team during peak times with updating institutional member data, including campus representatives and other campus members.
  • Assists OAME team with researching member prospects, including updating leadership records for an institution.
  • Duties as assigned.

Required Skills & Experience:

  1. Possess a bachelor’s degree.
  2. Minimum two-four years professional experience preferably in association, nonprofit, or higher education setting emphasizing attention to detail and responsive customer service required.
  3. Demonstrated written and verbal communication skills required.
  4. Excellent organizational and analytical skills required.
  5. Ability to work independently with minimal supervision and in team environments required.
  6. Familiarity with Microsoft Outlook, Excel and Word required.
  7. Familiarity with an association management database is highly preferred but not required.
  8. Familiarity with Microsoft Access preferred.
