Associate Director Conferences and Events

The Association of American Colleges and Universities (AAC&U), a national higher education organization committed to improving the quality of undergraduate education, seeks an Associate Director Conferences and Events. Under the supervision of the Vice President for the Office of Global Citizenship for Campus, Community, and Careers (GC4), the Associate Director will collaborate with the Director, Annual Meeting, Conferences and Events, Concept Advisors, AAC&U staff offices and the meetings team in the planning and executing of AAC&U conferences and events.   Work with Concept Advisors, Communications, Membership and Sponsorship and staff to ensure program and logistic activities are met for each AAC&U conference and event.

AAC&U’s membership comprises large and small, public and private, two-year and four-year, domestic and international, secular and faith-based institutions; tribal colleges, Hispanic-Serving Institutions, and Historically Black Colleges and Universities; and entire state systems.


  • Develop and monitor the annual budget for conferences and events working along with Meetings team
  • Review, evaluate, and/or negotiate conference venue contracts and identify and confirm conference locations
  • Oversee proposal review process
  • Assist with consultation, planning and implementation of program and logistical details under the direction of the Director, and work with concept advisors for AAC&U conferences and events
  • In collaboration with the Director, work with concept advisor and appropriate staff for each conference to begin planning and coordinating logistics and timeline for conferences
  • Serve as liaison between both internal and external partners (including, concept advisors, speakers, presenters, and/or AAC&U staff)
  • Collaborate with Communications and Office of Advancement and Member Engagement staff on implementation of marketing materials, strategies and sponsorship activities
  • Plan and provide support for designing program framework, potential speakers for pre-conference workshops, plenaries, and other featured presentations in collaboration with concept advisors, staff, and meetings office
  • Support all aspects of conference logistics as needed
  • Review evaluations for each conference and recommend changes based on an analysis of evaluations
  • Ability to travel, when appropriate, for on-site conference management


  • Bachelor’s or master’s degree
  • CMP preferred 
  • Minimum of 4-5 years of experience with conference event experience (experience in higher education or non-profit organization is a plus)
  • Experience with database management and other digital platforms and comfort with virtual engagement
  • Experience in a fast-paced, multi-event environment
  • Demonstrate successful project management, time management, an ability to multitask, and strong organizational and planning skills.
  • Experience with contracts for hotels and other vendors
  • Strong problem-solving skills with the ability to be resourceful.
  • Experience in a fast-paced, multi-event environment
