Program Associate/Assistant to the Associate Vice President (Remote/Hybrid) Office of Curricular & Pedagogical Innovation

AAC&U seeks a Program Associate/Assistant to the Associate Vice President (AVP) in the Office of Curricular & Pedagogical Innovation (OCPI). Through research, capacity-building, and advocacy, the Office of Curricular and Pedagogical Innovation (OCPI) provides actionable innovations in teaching, learning, and assessment to improve undergraduate liberal education for all students.

The Program Associate/Assistant to the AVP position will (1) provide important support in budgetary and programmatic administration for the signature programs in OCPI and (2) serve in an administrative support capacity for the AVP as well as the work of the office at large. The ideal candidate must have exceptional communication and organizational skills, and be able to identify and implement creative solutions that will enable the Office to realize its vision for growth and expansion. The Program Associate will assist in maintaining a highly congenial work atmosphere. As such, the Program Associate is a key factor in sustaining a spirit of collaboration in OCPI. This is a full-time remote/hybrid position that reports directly to the AVP for OCPI.

Position Responsibilities:

  • Provide logistical and administrative support to OCPI’s associate vice president and the office’s large-scale, grant-funded projects, including budget creation and management, calendaring, travel arrangements, invoicing, and record-keeping;
  • Support all office staff as needed across OCPI;
  • Provide organizational support and leadership to OCPI’s three annual Institutes, the Institute on General Education and Assessment, the Institute on ePortfolios and the Institute on Open Educational Resources;
  • Provide support for the annual national conference on General Education, Pedagogy, and Assessment and the Forum on Open Learning and ePortfolios;
  • Serve as a liaison between OCPI and the other AAC&U offices in support of cross-functional projects;
  • Participate in raising national awareness about the signature programs of the OCPI;
  • Perform quality control of and copy editing for external-facing documents;
  • Coordinate special projects and efforts to facilitate effective functioning and growth of OCPI signature programs and other programs, as needed;
  • Proactively contribute to conceptualizing, developing, writing, editing, and finalizing professional development/training materials and other external-facing documents;
  • Maintain data sharing files and financial records, prepare mailings, and act as the first point of contact for phone calls, general inquiries, and specific results from stakeholder communities/collaborators;
  • Develop and fully comply with administrative procedures and processes to ensure efficient and productive operations;
  • Manage the processing of invoices, payments, and reimbursements;
  • Provide administrative support to stakeholders, including managing and maintaining a priority-driven calendar, responding to meeting requests, arranging travel (as appropriate), and completing expense reports;
  • Coordinate virtual or in-person meetings and/or conference logistics, scheduling, and material preparation;
  • Work effectively and collaboratively;
  • Available for intermittent travel;
  • Meaningfully contribute to other office needs as they arise.

Required Qualifications:

  • Bachelor’s degree and three to five years’ professional experience; master’s degree preferred.
  • Advanced knowledge of and extensive experience with Microsoft Office suite (Word, Excel, PowerPoint, Outlook), project management software, virtual meeting and data sharing platforms
  • Experience with event planning preferred.
  • Professional experience in a college/university setting desirable.
  • Experience with social media marketing desirable.
  • Superior communication skills, written and oral.
  • Able to work independently and without supervision.
  • Ability to prioritize and handle complex projects, manage multiple tasks, and work under tight deadlines and time constraints.
  • Strong organizational and project management skills.
  • Ability to work collaboratively and effectively in a dynamic, interdisciplinary team environment.
  • Strong interpersonal skills and high emotional intelligence.
