Coordinator, Office of Undergraduate STEM Education

The Office of Undergraduate STEM Education (OUSE) at AAC&U consists of a dynamic, visionary team of committed individuals who implement bold national initiatives and interventions to advance the reform of undergraduate STEM education. Grounded in AAC&U’s commitment to equity, innovation, and excellence in liberal education, as well as a shared legacy with Project Kaleidoscope (PKAL) that has significantly impacted undergraduate STEM reform since 1989, this Office: 1) provides advanced professional and leadership development institutes for STEM faculty; and 2) expands the undergraduate STEM reform knowledge base through research, policy, practice, and evaluation. The role of Coordinator calls for self-starter who is highly-organized, detail-oriented, and contributes to the advancement of undergraduate STEM education at the national level. The Coordinator will support the Office of Undergraduate STEM Education by managing multiple projects and initiatives aimed at providing impactful professional development institutes and conferences for STEM faculty, particularly those from historically marginalized groups. This role requires a proactive individual who values organization, pays close and careful attention to detail and thrives in a fast-paced environment. The ideal candidate must have exceptional communication and organizational skills and be able to identify and implement creative solutions that will enable the Office to realize its vision for growth and expansion. The Coordinator is a key factor in sustaining a spirit of collaboration that foregrounds discipline, strong work ethic, and the care of self and others. This is a full-time position. The Coordinator reports directly to the Vice President for Undergraduate STEM Education.

Major Duties and Responsibilities

  • Coordinate multiple projects and programs related to undergraduate STEM education, ensuring timelines, deliverables, and goals are met
  • Serve as a point of contact for internal and external stakeholders, facilitating clear and effective communication
  • Assist in the planning and execution of STEM faculty professional development institutes, conferences, workshops, and events, including managing logistics, participant engagement, and follow-up activities
  • Maintain project documentation, including budgets, reports, and records, ensuring accuracy and accessibility
  • Support grant administration, including tracking progress, preparing reports, and assisting with compliance requirements
  • Collaborate with team members to conceptualize, develop, edit, and/or disseminate promotional and training materials, resources, external facing documents, and other communications 
  • Monitor trends and developments in undergraduate STEM education reform to inform project planning and implementation
  • Provide general administrative support as needed
  • Provide technical support on data visualization designs, strategic planning, branding, generation of charts and graphs for presentations, and evaluation/assessment of participant feedback
  • Maintain data sharing files and financial records with a high degree of accuracy and confidentiality, order supplies, prepare mailings, and act as the first point of contact for general inquiries
  • Work effectively and collaboratively with external stakeholders, committee members, vendors, consultants, and evaluators 
  • Other related duties as assigned

Required Qualifications

  • Bachelor’s degree. Master’s degree preferred.
  • At least three to five years’ experience in program management
  • Advanced knowledge of and extensive experience with Microsoft Office suite (Word, Excel, PowerPoint, Outlook, etc.), Google Suite (Gmail, GDrive, Google Site, etc.); project management software (e.g., monday.com); file storage and collaboration platforms (Box, Dropbox, etc.); generative artificial intelligence platforms (e.g., Chapt GPT); and virtual design tools (e.g., Canva)
  • Excellent communication skills, written and oral, and an ability to articulate a compelling message to multidisciplinary audiences
  • Able to work independently and without supervision; demonstrated ability to handle complex projects and prioritizing and managing multiple tasks under tight deadlines and time constraints
  • Strong organizational and project management skills, including budget management skills
  • Strong organizational skills and the ability to manage multiple tasks with attention to detail and accuracy.
  • Ability to work collaboratively and effectively in a dynamic, interdisciplinary team environment and on short timelines
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications

  • Experience with event planning and contracting preferred
  • Experience in higher education or with STEM higher education initiatives that focus on faculty development
  • Familiarity with grant-funded programs and compliance requirements
